Introduction

Artificial Intelligence (AI) is permeating every aspect of our life. While AI is not a new technology, the impact it is having on people and organizations is revolutionary. In the way the Internet changed the way we lived and worked in the 1990’s, AI is doing the same now. Like the Internet, AI has the potential to bring great benefits to people, but it can also bring great harm. It is society’s responsibility to ensure AI is used for the good of people.

At Nextworld, we are committed to providing organizations with Nextworld Intelligence solutions that improve their business processes and empower the people in these organizations to be their best. We aim to do this by adhering to the Nextworld Intelligence Ethics Principles listed below:

Purpose

The purpose of this policy is to establish the minimum standards for the development, delivery, and sale of Nextworld Intelligence services. It defines the Nextworld business processes requirements for meeting the Nextworld Artificial Intelligence Ethical Principles. It also defines roles and assigns responsibilities for AI practices.

Scope

This policy applies to Nextworld employees and contractors (Team Members) involved in the development, deployment, and sale of Nextworld Intelligence solutions.

Roles and Responsibilities

  • Provide oversight of the implementation of Nextworld Intelligence Ethics Principles and Nextworld Intelligence Ethics Policy.
  • Review and approve updates to the Nextworld Intelligence Ethics Principles and Nextworld Intelligence Ethics Policy.
  • Advise Nextworld Product Owners and Teams on how proposed AI solutions are impacted by the Nextworld Intelligence Ethics Policy.
  • Review AI impact assessments that are elevated from the Compliance and Security Officer.
  • Provide recommendations to Nextworld Executive Leadership Team on mitigation of high risks associated with AI solutions.
Compliance and Security Officer
  • Maintain the Nextworld Intelligence Ethics Principles and Nextworld Intelligence Ethics Policy.
  • Perform an annual review of the Nextworld Intelligence Ethics Policy.
  • Chair the Nextworld Intelligence Steering Committee.
  • Review AI solution impact assessments and provide guidance on compliance and security issues.
Executive Leadership Team
  • Provide appropriate governance and oversight of the Nextworld Intelligence Steering Committee to ensure requirements are being met.
  • Make decisions on risk response for Major or Catastrophic risks associated with an AI solution.
Product Owners
  • Provide strategic direction for Nextworld Intelligence solutions.
  • Conduct impact assessments of proposed AI solutions.
  • Review impact assessments with the Compliance and Security Officer, and when appropriate, the Nextworld Intelligence Steering Committee.
Product Teams
  • Implement and apply the requirements of the Nextworld Intelligence Ethics Policy.
  • Assist Product Owners in completion of impact assessments.

Definitions

AI Solution is a machine-based system that can, for a given set of human-defined objectives, make predictions, recommendations, or decisions influencing real or virtual environments.

Anonymization Process is the process by which customer data is modified to remove identifying data of individuals or non-public data of organizations.

Biometric Data is personal data resulting from specific technical processing relating to the physical, physiological, or behavioral characteristics of a natural person such as facial images or fingerprints.

End Users are the individual users provided access by customers to their Nextworld tenant for the purpose of interacting with the AI solution.

Impact Assessments are documented evaluations of the impacts and risks the AI solution could have on individuals, organizations, and society.

Untargeted Scrapping is the wide-spread extraction of data with the goal of collecting as much data as possible as opposed to collecting specific data from a specific site.

Ethical AI at Nextworld

Prohibited Practices

Nextworld shall not deploy AI solutions that meet any of the following criteria:

  • AI solutions using manipulation and deception to distort people’s behavior or decision-making ability.
  • AI solutions designed to exploit people’s vulnerabilities due to age, disability, or social or economic situation.
  • AI solutions that discriminate against individuals or groups. Discrimination can be in the form of excluding individuals or groups from the use or benefits of the solution or by providing outputs that are discriminatory to an individual or group.
  • AI solutions for that use biometric data to categorize individuals or groups based on race, political opinion, trade union membership, religious or philosophical beliefs, sex life, or sexual orientation.
  • AI solutions that create or expand facial recognition data through the untargeted scraping of facial images from the internet or CCTV footage.
  • AI solutions that infer the emotions of individuals in workplaces and educational institutions based on biometric data, except for medical or safety reasons.
  • AI systems that impersonate a person’s voice or likeness without their consent.
  • AI solutions output that violates copyright laws.

Nextworld aims to create solutions that harness the power of AI to empower people to higher order and higher value work. We are committed to developing and deploying AI technologies that streamline business processes while minimizing potential harm. Human oversight and control over design, development, and use of AI technologies helps meet that commitment. Through responsible innovation and collaboration, we aim to harness AI's potential to drive positive change and contribute to a better future for all.

  • Impact of AI solutions on people, organizations, and society shall be assessed by the product team prior to solution deployment.
  • Select impact assessments shall be reviewed by the Compliance and Security Officer, and where risk warrants, the Nextworld Intelligence Steering Committee.
  • AI solutions shall provide solutions to defined business problems (fit for purpose).
  • The purpose of AI solutions shall be defined by a human.
  • When possible, AI solutions shall be designed and developed to make it clear to end users their oversight and control responsibilities. Where not possible, guidance shall be provided to explain their responsibilities.
Display Transparency

Nextworld prioritizes transparency to ensure that users have a clear understanding and control over how AI solutions are used. We strive to provide users with accessible information about our AI technologies, including inputs, capabilities, intended purpose, potential impacts, and limitations. By embracing transparency, we aim to foster trust and confidence by empowering users to make informed choices and promote responsible AI adoption.

  • End users shall be informed that they are interacting with an AI solution.
  • Where possible, information shall be provided to end users that explains the intended use, capabilities, and limitations of the AI solution.
  • Where possible, end users will be informed how to interpret the outputs to aid their work and decision making.
Ensure Fairness and Non-Discrimination

Bias reduces the value of AI solutions and has negative impacts on individuals. Providing fair and non-discriminatory outputs is paramount in creating inclusive and equitable solutions that serve everyone equally. Where AI systems require human direction or control to ensure equitable results, the requirements will be clearly communicated to users. Our commitment to fairness and non-discrimination aims to create AI solutions that benefit and protect all of society.

  • AI solutions shall not be deployed without ensuring they do not violate the Prohibited Practices.
  • The AI solution impact assessment must include an assessment of the potential for bias and discrimination.
  • In situation where the risk of unfair bias in outputs is high, technical and/or organizational measures shall be included in the AI solution to identify and reduce bias.
  • Datasets used to train AI models impacting humans or human decisions shall be as inclusive as possible and representative of the population the AI solution is designed analyze and provide output on.
  • Bias testing shall be performed prior to deployment of new release on any AI solutions that produce results having an impact on people.
  • Testing of AI solutions shall be conducted on the most expansive and representative datasets possible and include test cases designed to detect bias.
Protect Privacy and Customer Data

Protecting privacy and customer data are fundamental to every Nextworld product and service. We prioritize the confidentiality and security of personal information entrusted to us by our users and customers. Through robust data protection measures and responsible data handling practices, we ensure that sensitive information is safeguarded against unauthorized access, misuse, and exploitation. Upholding this principle not only fosters trust and confidence among our users but also demonstrates our dedication to respecting individual privacy rights and upholding ethical standards in all aspects of our AI-driven services and products.

  • As with all Nextworld products, AI solutions shall comply with the Nextworld Cloud Services Privacy Policy, Customer Data Protection Agreement, and internal data protection policies and procedures.
  • Where privacy data is used in an AI solution end users shall be informed of what categories of data used, how the data is used, processed to produce outputs, and any decisions made based on the data.
  • Customer data shall not be used to test AI solutions without first being anonymized to remove the risk of exposure of personal or sensitive data.
  • The anonymization process shall obfuscate identifiers such as name, social security number, contact IDs, and contact information (address, phone number, email) of individuals.
  • The anonymization process shall obfuscate non-public data of organizations such as company name, company IDs, company structure, customer and supplier names and IDs, trade secrets, intellectual property, and operational data not meant for public disclosure.
  • Customer data residing in the customer’s production tenant, shall not be used to train AI solutions functioning within other customer tenants.
